Privacy policy

How Ecolutia Services AG collects, uses and protects personal information through this website, our enquiry forms and our recruitment process.

Last updated 6 November 2026

Who we are

Ecolutia Services AG (Swiss company number CHE-114.646.189), c/o schochauer ag, Marktplatz 4, 9004 St. Gallen, Switzerland, is the data controller for the personal information described in this policy.

For any question about how we handle your information, contact info@ecolutia.com.

What we collect

We collect personal information in three situations.

When you make an enquiry

Your name, company, job title, email address, telephone number and whatever you tell us about your site and its water treatment requirement.

When you apply for a role

Your name, email address, telephone number, CV, and a cover letter if you send one. Your CV may contain employment history, qualifications, references and any other information you choose to include.

When you browse this site

Our hosting provider keeps standard server logs — your IP address, the pages you request and when — to run the site and keep it secure. With your consent, we also use Google Analytics to see how visitors use the site (see Cookies below). We do not use advertising cookies.

How we use it, and our lawful basis

Under UK GDPR we must have a lawful basis for processing your information. Ours are as follows.

PURPOSE
LAWFUL BASIS
Responding to your enquiry and preparing a quotation
Steps taken at your request before entering a contract
Delivering and supporting a contracted service
Performance of a contract
Assessing your application for a role
Steps taken at your request before entering a contract of employment
Keeping your CV on file for future vacancies
Your consent, which you may withdraw at any time
Keeping the website secure and understanding how it is used
Our legitimate interests in running a safe and effective website

We do not sell your information, and we do not use it for automated decision-making or profiling.

Recruitment

When you apply through this website, your details and documents are sent to our recruitment team and used only to assess your suitability for the role you applied for, and for any other role we think may suit you if you have agreed to that.

If you are unsuccessful we keep your application for six months and then delete it, unless you have asked us to keep it on file for longer. If you are successful, your application becomes part of your employment record.

Please do not include information about your health, ethnicity, religion, or other special category data in your CV or cover letter. We do not need it to assess your application.

Who we share it with

We share personal information only where we need to, and only with organisations that are required to protect it:

  • Other Ecolutia group companies, where your enquiry concerns a site in their region
  • Our IT, hosting and email suppliers, who process data on our instructions
  • Professional advisers, and regulators or law enforcement where we are legally required to

These are GoDaddy (website hosting, in its Strasbourg data centre), Microsoft (email, through Microsoft 365), Intuition Machines (hCaptcha, which checks our forms are sent by people, not bots) and Google (the fonts used on this site and, if you accept analytics cookies, Google Analytics).

International transfers

Ecolutia operates across Europe, the Americas, the Middle East and Asia, so your information may be transferred outside the UK or the European Economic Area. Where it is, we rely on the safeguards the law requires, such as adequacy decisions or standard contractual clauses, to make sure it stays protected to the same standard.

How long we keep it

We keep enquiry records for six years, contract records for six years after the contract ends to meet our legal and accounting obligations, and unsuccessful job applications for six months. When a retention period ends we delete the information or anonymise it.

Your rights

You have the right to ask us to:

  • Give you a copy of the personal information we hold about you
  • Correct anything that is wrong or incomplete
  • Delete it, or restrict how we use it
  • Transfer it to another organisation
  • Stop processing it where we rely on our legitimate interests

Where we rely on your consent, you can withdraw it at any time without affecting anything we did beforehand. Email info@ecolutia.com and we will respond within one month.

Cookies

This site stores your chosen region in your browser so the correct emergency number is shown on your next visit. That is a functional preference, not tracking, and no third party can read it.

Our forms use hCaptcha to block spam, which may set its own cookie when you use a form.

With your consent, we use Google Analytics to understand how visitors use this site (pages viewed, approximate location and device). It sets cookies (_ga and _ga_*) that last up to 13 months. Nothing is sent to Google unless you press Accept, and you can change your choice at any time with “Cookie settings” at the foot of every page.

Security

We take appropriate technical and organisational measures to protect personal information against loss, misuse and unauthorised access, and we limit access to those who need it to do their jobs. All connections to this site are encrypted, files sent through our forms are stored where only authorised staff can reach them, and access to enquiries is limited to the people who handle them.

Contact and complaints

If you have a question or a concern about how we handle your information, contact us first at info@ecolutia.com or through the contact page. We would rather hear from you and put something right.

You also have the right to complain to the Information Commissioner's Office at ico.org.uk, or to the supervisory authority in your own country.

Changes to this policy

We update this policy when our practices change. The date at the top shows when it was last revised.
